Weave is Weave Communications, Inc.’s patient communication platform that runs a practice’s phones, two-way texting, appointment reminders, payments and reviews from one inbox. It isn’t built only for dentistry: Weave sells to dental, optometry, veterinary, medical and other offices, and its plans start at $199 a month, with reminders sold in a separate $149 bundle (checked October 19, 2026).
Quick verdict
Weave suits a practice that wants its phone system, patient texting and reminders from one vendor, and that runs a PMS Weave integrates with. Capterra users praise how easy it is and how much it puts in one place. The recurring complaints are glitches, uneven support, integration gaps and price.
Before you sign, ask three things. Does Weave’s integration with your PMS cover the features you want, such as payments posting and forms writing back? Which features sit in the $199 base plan and which in a bundle? And will Weave sign a business associate agreement (BAA) for your practice? Its privacy policy refers to a Business Associate Addendum, but the security page doesn’t mention one.

What is Weave?
Weave is an all-in-one communication platform for small healthcare practices that combines a cloud phone system with patient texting, reminders, forms, payments and online reviews. Staff work from a web browser, a desktop app or a mobile app. Weave says over 35,000 locations use it.
Weave lists Call Pop “for more personalized calls”, and reviewers describe it showing the caller’s details before they pick up. If nobody answers, Weave says a Missed Call Text goes out. Reminders and confirmations go out by text, call or email, and patients can confirm with any affirmative reply, not only a “C”. Balances can be collected with Text to Pay, and the team talks internally through Team Chat.
Weave sells the same platform to many industries. Its plans page asks you to pick from about 20, including dental, orthodontics, veterinary, chiropractic and pharmaceuticals, and its partner page groups integrations under dental, optometry, medical and veterinary. The AI Receptionist leans toward dentistry: Weave says booking and rescheduling work only with “qualified Dental PMS”, and that veterinary offices can join a waitlist.
Key features
Weave’s main features are its phone system, two-way texting, automated reminders, digital forms, payments and a set of AI tools, as listed on Weave’s home, AI and plans pages. - Team tools: Team Chat, a mobile app and an insurance verification product
Weave vs. what a patient communication tool should have
Weave’s pages list two of the five must-haves on our patient communication checklist outright: two-way texting and reminders. PMS sync and BAA and security information are partial, because the integration list wasn’t on the saved pages and the BAA appears only in the privacy policy. Support is judged from reviews alone, and they split both ways.

FDA status and privacy
Weave has no FDA listing under the vendor’s name: we searched the FDA’s 510(k) and PMA databases on October 19, 2026 and found none. Weave says it encrypts data in transit and at rest and supports HIPAA compliance. Its privacy policy refers to a Business Associate Addendum; the security page doesn’t mention a BAA.
The FDA search used openFDA’s 510(k) and PMA device databases with Weave as the applicant name.
Weave’s security page says data moving between practices and Weave uses TLS 1.2+ and HTTPS, that all subscriber data is encrypted at rest with AES-128-bit keys or better, and that keys are managed with Google’s Key Management Service. Weave says the platform runs on Google Cloud Platform and that Google’s infrastructure goes through ISO 27001 and SOC 2 Type 2 assessments. Those certifications are Google’s; the page doesn’t claim them for Weave itself. Weave also lists independent penetration tests, a bug bounty program, multi-factor authentication on internal systems and daily backups.
On HIPAA, the security page says Weave “has been designed with features to support you in complying with HIPAA.” The AI page describes “HIPAA-compliant infrastructure”, and the AI Receptionist FAQ says the receptionist was designed to meet and exceed HIPAA standards. Those are the vendor’s statements.
Weave’s privacy policy says Weave handles patients’ information as a “data processor”, “business associate” or similar term on behalf of the practice, and that protected health information won’t be used to build or train AI unless Weave has secured proper agreements. The privacy policy also lists a Business Associate Addendum among the agreements a subscriber may enter into with Weave; the security page doesn’t mention a BAA. Ask Weave to confirm it will sign one for your practice before you connect patient data.
Pricing
Weave pricing starts at $199 a month for the base plan, and the Coordinate and Attract bundles cost $149 a month each, according to Weave’s plans page (checked October 19, 2026). Weave shows the price for your exact plan only after you share your details or book a demo.
| Plan | Price | What the vendor lists |
|---|---|---|
| Base Plan | From $199/mo | Call Pop, two-way texting, Missed Call Text, Text to Pay, mobile app, Team Chat, call analytics, fax, integration, essential AI features; with or without two Yealink phones |
| Coordinate Bundle | $149/mo | Online scheduling, digital forms, reminders and follow-ups, appointment confirmations, recall and reactivation texts and calls |
| Attract Bundle | $149/mo | Reviews, Text Connect, email marketing (10,000 emails), bulk texting (5,000 texts) |
| AI Receptionist | Pricing on request | Messaging, or voice plus messaging; early access |
Reminders and confirmations aren’t in the base plan, so a practice that wants them pays for the base plan and the Coordinate bundle. Weave says individual solutions are available “at varying prices”. The AI Receptionist page advertises 25% off for the rest of 2026 with early access, without a base price.
Weave says it doesn’t require long-term contracts but gives discounts on year-long contracts. Weave says it doesn’t offer a free trial of the full platform but does offer free trials of new products to existing customers. One reviewer says each phone added beyond their plan cost an extra $20 a month.
Pros (from user reviews)
Capterra reviewers often praise Weave’s ease of use, patient texting, support and having phones, texts and reminders in one place. The sample is mostly non-dental: about one in five of the 200 reviews we read has a dental context, so most of these themes come from medical, veterinary and other offices.
- Many reviewers call Weave easy to use or easy to learn, including several in dental offices.
- Two-way texting with patients gets praise from many reviewers. A few who serve hearing-impaired patients say texting lets those patients reach the office; one says they schedule and confirm that way.
- Having calls, texts, faxes, reminders and payments in one place instead of with separate vendors comes up in many reviews.
- Many praise the automated reminders and confirmations, and a few say no-shows dropped after they switched. One dental office manager says Weave confirms appointments 7 days ahead, a couple of days before and an hour before.
- Support is helpful, according to many reviewers, and some say it’s quick to respond.
- The mobile app is popular for checking the schedule and answering calls and texts away from the office; many reviewers mention it, including several dental reviewers.
- Many say Weave works with their PMS or EHR. Reviewers on dental PMSs mention Eaglesoft caller information and schedules, Dentrix forms that write back, and the mobile app connecting to Dentrix.
- Payments and Text to Pay get praise from many reviewers, and several say the price is good value.
- Several like the caller information that pops up on calls, Team Chat and call recordings. Two credit review requests with bringing in more online reviews.
Cons (from user reviews)
Capterra reviewers’ main complaints about Weave are technical glitches, support that is slow or hard to reach, gaps in PMS integration and price. These themes also come mostly from non-dental reviewers, though price and support complaints show up in several dental reviews too.
- Many report glitches: apps that crash or freeze, phones that drop calls or stop ringing, faxes that don’t arrive and messages that go missing. One reviewer in April 2024 says about 10 to 11% of their texts never reached patients.
- Slow or unhelpful support is another common theme, with many reviewers describing long holds, tiered escalation and issues closed without a fix. Many others praise support, so experiences vary.
- Integration gaps come up in many reviews. Reviewers say payments don’t post to Eaglesoft, analytics aren’t available for Eaglesoft, forms didn’t populate into Open Dental, and offices without an integration must upload patient lists by hand.
- Price is the other common complaint: many say Weave is expensive, or that add-ons and fees push the bill up. A dental practice director wrote in November 2021 that the annual fee rose without notice.
- Several describe rough setups, phone porting or onboarding, and a few say there was little or no training.
- Automated reminders misfire for several reviewers, such as wrong times, messages to cancelled appointments or closed accounts, and confirmations that don’t register.
- The mobile app feels weaker than the desktop version to several reviewers, and several say updates and interface changes disrupted their work.
- A few describe contract or billing disputes: an early termination fee, a refused cancellation, charges after a free trial and trouble moving a phone number out.
Capterra marks 85% of the 200 reviews we read as incentivized, and about seven in ten give Weave 5 stars. Weigh the praise with that in mind.
Who it’s for
Weave fits a practice that wants one vendor for its phones, patient texting, reminders and payments, and whose PMS Weave already integrates with. Practices on a PMS Weave doesn’t integrate with, or that want a full price before a sales call, should check carefully first, because reviewers describe manual uploads and pricing that grows with add-ons.
If you run a dental office, reviewers on Dentrix and Eaglesoft report caller information, schedules and forms working, while the one Open Dental reviewer says forms didn’t populate. Ask Weave which features sync with your system: payments posting, forms write-back and analytics come up in complaints. If you want the AI Receptionist to book appointments, confirm your PMS counts as “qualified”. And if your office depends on the phones for emergencies, ask how support handles outages, since several reviewers say a phone outage stopped their whole office.

How this review was put together
We didn’t use Weave ourselves. This review is built from Weave’s home, AI, AI Receptionist, plans, security, partner and privacy policy pages, a search of the FDA’s 510(k) and PMA databases, and the first 200 of Weave’s 705 Capterra reviews in Capterra’s default order, written between November 27, 2019 and October 14, 2026. We counted review themes only where a review states the point. All sources were checked on October 19, 2026.
