RevenueWell review

RevenueWell is RevenueWell Systems’ patient engagement and marketing platform for dental practices that sends appointment reminders, two-way texts, online forms and recall campaigns from data it pulls out of your practice management software (PMS). The vendor also sells phones, an AI receptionist, insurance verification and a full digital marketing service, but it publishes no prices: every plan is pricing on request (checked October 19, 2026).

Quick verdict

RevenueWell suits a dental office that wants automated reminders, patient texting and recall campaigns tied to its PMS, especially one on Eaglesoft. On Capterra, many reviewers say it is easy to use and saves the front desk confirmation calls. The complaints are outages and glitches, uneven support, add-on costs and, in the low-star reviews, contracts that were hard to leave.

Before you sign, get three things in writing. What does your plan cost, and which features are add-ons? How long is the contract, and how do you cancel? And will RevenueWell sign a business associate agreement (BAA)? Its HIPAA page says RevenueWell acts as your Business Associate, but the saved pages don’t mention a signed agreement.

It has no FDA listing under the vendor’s name, its HIPAA page describes RevenueWell as your Business Associate, and it holds a 4.4 out of 5 rating from 83 Capterra reviews, all checked October 19, 2026.

What is RevenueWell?

RevenueWell is a dental patient communication platform that reads your schedule and patient list from the PMS, then sends reminders, confirmations, recall messages and campaigns by text, email, phone call or mail. The vendor calls it “The Complete Growth Platform For Dental Practices” and says more than 11,200 dental practices use it.

The vendor says confirmations and reminders go out on the schedule you set, in English or Spanish, and that RevenueWell updates the PMS as patients confirm. Family Messaging sends one message to the responsible party when several family members come in the same day. When someone cancels late, RevenueWell reaches out to patients on the ASAP list who can come in sooner. Staff answer patient texts through RevenueWell Messenger from the practice’s own phone number.

RevenueWell sells two kinds of service. One is the patient engagement platform with its add-ons. The other is a dental marketing agency that runs SEO, paid ads, social media and websites, a team the vendor says has more than 35 years in dentistry, and it comes as separate plans.

Key features

RevenueWell’s main features are automated reminders and confirmations, two-way texting, recall and reactivation campaigns, online forms and review requests, according to its home, plans and feature pages. Phones, the AI Receptionist and Insurance Verification are add-ons, and the vendor marks the AI tools as new:

  • Reminders: automated calls, texts and emails, with timing, channel, wording and language (English or Spanish) set by the practice, Family Messaging and an ASAP list for last-minute openings
  • Texting: two-way messaging that the vendor says has no character limits and keeps the full thread history; the plans page lists text limits of 750, 1,750 and 3,250 across the three plans
  • Campaigns: more than 100 templates the vendor lists for birthdays, expiring insurance and treatment follow-up, plus recall, reactivation, treatment plan follow-up, post-op instructions, direct mail and targeting by CDT code
  • Forms: basic forms, pre-built templates, custom forms and packets, which the vendor says flow into the PMS
  • Reviews: automatic review requests by text or email after visits, monitoring of new reviews, review replies, a website widget and a Facebook app
  • Payments: a patient portal for bills and payment plans, CareCredit integration and automated collections
  • Phones (an add-on on the home page; the plans page lists an integrated phone and included phones): VoIP with the patient’s name on screen when a call comes in, call recording, missed call text and performance tracking
  • AI Receptionist (add-on): answers common questions, books, reschedules and cancels appointments, captures missing patient information, logs every interaction and passes anything outside its rules to staff
  • Insurance Verification (add-on): checks benefit information before each appointment, including past services and next eligible service dates, per the vendor
  • Other: a staff mobile app, online scheduling, team chat, remote schedule access, practice analytics, social media management and RevenueWell TV (add-on)

RevenueWell vs. what a patient communication tool should have

RevenueWell’s pages list three of the five must-haves on our patient communication checklist outright: two-way texting, reminders and PMS sync. HIPAA information is published but only partly answers the BAA question, and support can only be judged from reviews, which split both ways. The clearest gap is pricing, which isn’t published.

Must have

Feature Status Note
Two-way texting with patients Listed RevenueWell Messenger, from the practice’s number; many reviewers praise it
Automated appointment reminders and confirmations Listed Text, email and calls in English or Spanish; many reviewers praise them
Syncs with the practice’s PMS Listed Dentrix, Dentrix Ascend, Eaglesoft, Open Dental, Denticon and WinOMS named; several reviewers describe gaps
BAA offered / security and HIPAA information published Partial HIPAA page published and says RevenueWell acts as your Business Associate; no signed BAA or security certification on the saved pages
Support that responds Reviews only Several reviewers praise support and several complain about it

Should have

Feature Status Note
Recall and reactivation campaigns Listed Listed on the plans page
Online review requests Listed Sent by text or email after the appointment
Digital forms or intake Listed Two reviewers say forms cost extra
Payments or text-to-pay Listed Patient portal for bills and payment plans; CareCredit
Public pricing Not listed Plans and marketing packages show “Get Pricing” only
Contract terms stated (length, cancellation) Partial Monthly and annual contracts available, per the vendor; cancellation terms not on the saved pages

Nice to have

Feature Status Note
Phone system / VoIP included Partial Home page lists phones as an add-on; plans page lists an integrated phone without showing which plans include it
AI features Listed AI Receptionist and Insurance Verification, both add-ons
Mobile app for staff Listed Two reviewers say the app can’t always place calls

FDA status and privacy

RevenueWell has no FDA listing under the vendor’s name: we searched the FDA’s 510(k) and PMA databases on October 19, 2026 and found none. RevenueWell’s HIPAA page says the company acts as your Business Associate and hosts data in a HIPAA, HITECH and PCI compliant facility. The saved pages don’t mention a signed BAA or a security certification.

The FDA search used openFDA’s 510(k) and PMA device databases, searching for RevenueWell as applicant and device name.

On the HIPAA page, RevenueWell says data taken from your PMS travels over an encrypted internet connection to its hosting facility, where all data operations happen. The vendor says it runs regular HIPAA audits and has HIPAA compliance experts on staff, and that logins are protected with SSL and 128-bit encryption. It also says its phone calls and answering machine messages contain no treatment-specific information, and that mail with health or payment information goes out in covered envelopes. These are the vendor’s statements. No SOC 2 or HITRUST report appears in our data.

RevenueWell’s HIPAA page also explains how the company reads HIPAA and the TCPA for marketing messages. RevenueWell says it never accepts third-party payment for content in the system, and it states that treatment plan notices and appointment confirmations count as health care messaging under FCC rules. It closes by saying it is not legal advice, so ask your own attorney about consent, and ask RevenueWell to send its BAA before you connect patient data.

Pricing

RevenueWell pricing is on request (checked October 19, 2026). The plans page names three software plans, Starter, Professional and Premium, and lists AI Receptionist, Insurance Verification, Dental Websites and RevenueWell TV as add-ons, but shows no prices. Each digital marketing package also ends in a “Get Pricing” button.

Plan Price What the vendor lists
Starter (Marketing Platform & Forms) Pricing on request “Essential tools for practices needing automation”
Professional Pricing on request “Full front desk automation for growth-minded practices”; marked most popular
Premium Pricing on request “All-in one solution”; marked best value
SEO and advertising packages (Basic, Advanced, Elite, Elite+) Pricing on request Separate digital marketing service

In the saved text of the plans page, every feature is listed but nothing shows which plan includes which, so ask for a feature list with your quote. For the advertising packages, the vendor lists a recommended monthly ad spend of $750 for Basic, $1,300 for Advanced and $2,500 for Elite, and “Campaign dependent” for Elite+. The page lists that separately from the package price, which is on request.

The home page says monthly and annual contracts and free trials are available. Reviewers report stricter terms. A dentist on Capterra wrote in October 2020 that RevenueWell required a year-long contract, and that RevenueWell and its phone partner Jive asked $1800 to buy it out for services the office never used. Ask for the contract length and the cancellation terms in writing.

Pros (from user reviews)

Capterra reviewers mostly praise RevenueWell’s ease of use, its automated reminders and texting, and the phone time it saves the front desk. Most of the 83 reviews were written in February 2022, and Capterra marks most of them as incentivized, so the praise comes largely from one month of prompted reviews.

  • Many reviewers call RevenueWell easy to use or easy to set up, including several in dental offices.
  • Automated reminders and confirmations get praise from many reviewers. Two say no-shows or broken appointments went down.
  • Many say the reminders and texts save staff time and cut confirmation calls. A few who work the front desk alone say they rely on it.
  • Two-way texting is popular with many reviewers, and a few say patients answer a text faster than a call or voicemail.
  • Many use the mass messages and campaigns, for newsletters, promotions and notices about weather closures or COVID rules.
  • Several praise the online forms. One dental office coordinator says digital forms write back to Eaglesoft, and so do appointments scheduled through RevenueWell.
  • Several say RevenueWell works well with their PMS, and several of those name Eaglesoft.
  • Several say patients like getting texts and reminders, and several like how much they can customize.
  • Support is helpful, according to several reviewers, and a few say outages were fixed quickly.
  • A few like the price and a few like the social media posting. A few mention review requests as a plus, and a few like online bill pay.

Cons (from user reviews)

Capterra reviewers’ main complaints about RevenueWell are outages and glitches, support that is hard to reach, a dated or confusing interface, add-on costs and gaps in PMS integration. Contract complaints are fewer but harsher, and most of the reviews written in 2025 and 2026 give one star.

  • Several report outages, freezes, lag or being logged out. A dental practice administrator says the dashboard has to reboot several times almost daily.
  • Several describe support that is slow or hard to reach. A dental CEO wrote in November 2022 that a voicemail problem went unfixed for 6 months.
  • Several find the interface hard to use, dated or awkward to navigate.
  • Price is a complaint for several reviewers, and a few say forms, bill pay or other add-ons cost extra. Two say the forms were an extra fee.
  • Several describe integration gaps: payments that don’t post to Eaglesoft, past-due notices that don’t reach the patient chart, weaker integration with SoftDent, and a web-based PMS that wasn’t supported at the time.
  • Several describe contract, cancellation or billing disputes. Two of these are about RevenueWell’s SEO and advertising services, and a few say the marketing services didn’t deliver results.
  • A few had phone system trouble, such as missed calls after porting, voicemail problems and a VoIP setup through a partner. One reviewer in February 2020 says the office couldn’t receive calls from a third of its patients for 3 weeks.
  • A few say patients get too many messages, a few want more reminder options, and a few want more control over campaign design.
  • Two describe problems with online scheduling, and one owner wrote in December 2025 that insurance verification was done wrong or not done.

Capterra lists 83 reviews in all, and about seven in ten give RevenueWell 5 stars. Weigh the praise against the dates: the recent reviews are far more negative than the 2022 batch.

Who it’s for

RevenueWell fits a dental practice that wants reminders, texting, forms and recall campaigns run automatically from its PMS, and that may also want a vendor to handle its website, SEO and ads. Eaglesoft offices have the most reviewer support for the integration. If you need a published price or a short exit clause, check the contract carefully first.

For a small front desk, a few reviewers who work alone say RevenueWell carries a lot of the confirmation work. Offices that depend on the phones should ask how the phone add-on is supplied and supported, since a few reviewers had serious call problems. For the marketing services, get the deliverables in writing: several reviewers describe contract disputes, and two of the harshest are about SEO and ads. Several reviewers came to RevenueWell from other platforms, such as Solutionreach, Demandforce, Lighthouse 360 and Weave.

FAQ

How much does RevenueWell cost?

Pricing on request. RevenueWell’s plans page names Starter, Professional and Premium software plans and several add-ons but shows no prices, and its digital marketing packages also say “Get Pricing” (checked October 19, 2026). Ask for a quote that lists the features and add-ons in your plan.

Does RevenueWell work with Dentrix, Eaglesoft or Open Dental?

Yes, the vendor says, and it names Dentrix, Dentrix Ascend, Eaglesoft, Open Dental, Denticon and WinOMS. Several Capterra reviewers say it works well with their PMS, most often Eaglesoft, though several describe gaps such as payments not posting to Eaglesoft and weaker integration with SoftDent. Ask which features write back to your system before you sign.

Does RevenueWell sign a BAA?

The saved pages don’t say so directly. RevenueWell’s HIPAA page says RevenueWell acts as your Business Associate and your office is the Covered Entity, and it describes encrypted data transfer and HIPAA audits. Ask RevenueWell for its BAA and read it before you connect patient data.

Does RevenueWell require a long-term contract?

The vendor says monthly and annual contracts are available. Several Capterra reviewers describe contracts that were hard to leave, including a required year-long contract and a buyout demand, so read the length and cancellation terms in your agreement.

What does the RevenueWell AI Receptionist do?

RevenueWell says its AI Receptionist answers common questions around the clock, helps patients book, reschedule and cancel, captures missing patient information and logs every interaction for staff review. The vendor says it works within rules your practice sets, can require approval for any appointment type and passes anything else to your team. It is an add-on with pricing on request.

Is RevenueWell listed with the FDA?

No FDA listing was found under RevenueWell’s name in the FDA’s 510(k) and PMA databases, searched October 19, 2026. The saved RevenueWell pages don’t mention the FDA.

How this review was put together

We didn’t use RevenueWell ourselves. This review is built from RevenueWell’s home, plans, digital marketing plans, integrations, HIPAA, text messaging, appointment reminders, reputation management and social media pages, a search of the FDA’s 510(k) and PMA databases, and all 83 of RevenueWell’s Capterra reviews, written between August 9, 2018 and June 24, 2026. We counted review themes only where a review states the point. All sources were checked on October 19, 2026.
